We are currently seeking an executive assistant to provide an efficient and responsive administrative and organisational service to the Executive Director, and direct reports where applicable, helping them to maintain a responsive and high quality service to key external contacts and stakeholders and to internal customers and colleagues and to ensure delivery on, and monitoring of, key projects and initiatives.
The successful candidate will hold the responsibility to:
- Ensure busy diary commitments, papers, and travel UK/International arrangements are managed effectively, troubleshooting problems and diary clashes as soon as they arise.
- Provide personal and confidential administrative and secretarial support, ensuring the appropriate action on information and messages and efficient email management thereby ensuring the co-ordination and timely response to correspondence and other requests received.
- Keep and maintain an accurate record of papers and electronic correspondence on behalf of the Executive Director of International
- Liaise with third parties to arrange and organise appointments, arrange for timely typing of letters, reports and other documents.
- Receive communications and enquiries from key stakeholders and third parties, ensure that all contacts are dealt with professionally and promptly, that information is processed and communicated and that, where required, enquiries are properly followed up and fully resolved.
- Schedule on behalf of the Executive Director of International meetings between her direct reports and the committees and groups to which she is a member
- To work to achieve close and harmonious relationships across the offices and departments in all aspects of the work, especially at the interface with other departments.
- Minute general meetings as required and complete research on behalf of the Executive Director of International and accurate and timely preparation and distribution of various board meeting papers.
- Maintain an up to date database/file on international schemes and a record of all correspondence relating to the schemes
- Assist with general administrative tasks, travel arrangements and any ad hoc secretarial requests
- The job holder will have varying areas of specific departmental responsibility according to operational needs from time to time.
- Complying with applicable professional ethical guidance and all relevant internal rules, policy and procedures, including those relating to health and safety, data protection, IT security and all those contained within the issued staff handbook.
Essential Skills:
- Significant experience in an Executive Assistant/PA/Senior Secretarial position and be able to demonstrate a track record with working for Senior Management in an organisation.
- Advanced knowledge of Excel, Word and PowerPoint
- Previous experience of arranging and managing International travel
- Experience of dealing with a wide range of often highly confidential matters the job holder must therefore have the ability to deal with these in a tactful and discreet manner
- The post holder must also be available to travel occasional
- Proficiency in a language spoken in any of the relevant jurisdictions will be an advantage.
